What is a PMS?

A Property Management System (PMS) is a hotel management system designed to provide full 360º control over hotel operations. It allows teams to organise, schedule and manage all areas of the hotel more efficiently, reducing costs and delivering a seamless guest experience. These systems emerged from the growing need for digitalisation across industries, including hospitality.

Originally, a PMS was mainly focused on front-desk tasks such as reservations, check-ins and check-outs, room assignment and billing. However, the technology has evolved significantly and now includes a wide range of integrations that go far beyond reception operations.

Main functions of a PMS

  • Room management: centralizes the control of reservations, allowing the management of room availability and assignment to guests.
  • Integration with sales channels: automatically synchronizes rates and availability with OTAs, booking engines, and marketplaces.
  • Payment management: allows issuing invoices, recording payments, and reconciling with online payment gateways.
  • Check-in and check-out: streamlines the clients’ entry and exit processes.

  • Performance analysis: generates reports on occupancy, revenue, and customer trends.

PMS providers must comply with PCI-DSS to operate safely, since this standard is mandatory for all companies that store, process or transmit credit and debit card data.
